This notice applies across all websites that we own and operate, and all services we provide, including our online ad verification and validation service, and any other products or services we may offer (such as events). For the purpose of this notice, we'll just call them our "services". Most clients who use the Specle Service are business customers; however there are times when we need to collect personal information as it is provided to us, and where the user of the Specle Service is not a business customer.
When we collect "company data and/or personal data" we mean information about your company and/or you, such as your name, email, address, telephone number, payment information, support queries, etc. Check out our Terms and Conditions for more information. We may need to update this notice and the Terms and Conditions from time to time. Where there is a significant change, we’ll make sure to let you know – usually by sending you an email.
When we refer to "we" (or "our" or "us"), that means Specle Limited operating from London, UK. We provide an easy-to-use global online ad verification and validation platform for any advertiser from large multinationals like McCann Worldgroup, global publishing companies like Condé Nast Britain and The Economist, outdoor companies like Primesight, as well as small businesses, freelancers, contractors; and in some cases, individuals. Under the European Union data protection rules, we are not a data controller but we are a data importer and exporter in order to perform the services you have requested us to do.
When you visit our website or use our services, we collect some data. There are really only two ways we currently do this:
Information you give us: When you visit or use some parts of our websites and/or services we might ask you to provide some data to us. For example, we may ask for your contact information when you sign up for a free trial, respond to a job application, interact with us on social media, contact us with questions, or request support. If you don’t want to provide us with the necessary data it might mean you can’t use some parts of our websites or services.
We use your contact data (company and/or personal) to operate our website and provide you with any services you wish us to perform, and to manage our relationship with you. We also use your contact data for other purposes, which may include the following:
To communicate with you, which may include:
To support you: This may include assisting with the resolution of technical issues or particular issues with your files and to provide you with links that have information to help you correct your file; or other issues relating to our services, whether by email or otherwise.
To enhance our websites and services and develop new ones: For example we may wish to track and monitor your use of our website and services so we can keep improving it and making it easier and better to use.
There will be times when we need to share your contact data with third parties - mainly publishers and media owners. We will only disclose your contact data to:
When we share data, which is extremely rare, it may be transferred to, and processed in, countries other than the country you live in – such as the United States, where some of our data hosting provider’s servers could be located. These countries may have different laws than the UK and the EU.
Where we disclose contact data (company and/or personal) to a third party in another country, there are the necessary safeguards in place to ensure your data remains protected.
For individuals in the European Economic Area (EEA), this means that your data may be transferred outside of the EEA. Where your personal data is transferred outside the EEA, it will only be transferred to countries that have been identified as providing adequate protection for EEA data (like the UK), or to a third party where we have approved transfer mechanisms in place to protect your data.
Security is a priority for us when it comes to your contact data. We’re committed to protecting all your data and have appropriate technical and organisational measures in place to make sure that it remains secure.
Our web-hosting partner is Amazon Web Services, our accounting software partner is Xero, our email partner is Google, our payment processing providers are Stripe and Worldpay, our bank is Coutts of London.
They all have the appropriate security and therefore we, and you, benefit from their infrastructure.
If you wish to know more then please get in touch with us on email@example.com
The length of time we keep your contact data depends on what it is and whether we have an ongoing business need to retain it. We may sometimes keep this data for several years. Sometimes clients only advertise once a year, and they like it if all their original contact information and files are still there when they come back. Some old files may still have your contact information embedded in the file, and that may stay there for a long time too. We may also need to keep the data for applicable legal, tax, or accounting requirements. We retain your contact (company and/or personal) data for as long as we have a relationship with you and for a period of time afterwards.
It is your contact data (company and/or personal) and you have certain rights relating to it. When it comes to marketing communications, you can ask us not to send you these at any time - you just need to let us know. We provide unsubscribe buttons in the marketing communications we send out.
You also have rights to:
You can exercise these rights at any time by sending an email to firstname.lastname@example.org
If you’re not happy with how we are processing your personal data, please let us know and we will investigate your complaint, and try to get back to you within a reasonable time frame.
We’re always keen to hear from you. If you have questions or feedback for us then please get in touch. Our email is email@example.com.
We are a technology company, so you would think we mainly communicate by email – but we are also really good on the phone! If you prefer to call us, you can do so at +44 (0) 207 871 3555.
